Google has officially launched Workspace Intelligence, an AI-driven system built into Google Workspace. It functions using Gemini to simplify the use of productivity tools. Workspace Intelligence eliminates manual switching between apps and creates a unified workflow.
Workspace Intelligence connects data across Gmail, Docs, Sheets, Slides, and Drive to build a streamlined user experience. This system improves both speed and productivity. Instead of waiting for prompts, it actively collects relevant information, prioritises tasks, and produces customised results that suit individual work styles.
A standout addition is Ask Gemini in chat, which acts as a central command hub. Users can assign tasks in natural language, and the system responds quickly by drafting a document, preparing a presentation, and scheduling meetings without leaving the chat window. It also works with third-party platforms like Asana, Jira, and Salesforce, extending its reach beyond Google’s ecosystem.
Google has positioned Workspace Intelligence as enterprise-ready with a great focus on security, governance, and access control. The company claims that Workspace data will never be used for advertising or external AI training. Google is directly addressing growing concerns around AI oversight.
Data usage is restricted to user permissions. On the other hand, administrators possess control over which sources the system can access, providing enterprises with the confidence to manage sensitive workflows.
The rollout began on April 22, 2026, targeting business, enterprise, and education sectors, with phased global expansion. This strategy suggests Google’s intent to balance innovation and enterprise trust, ensuring adoption happens under controlled and secure conditions.
Docs: Draft creation, visuals, and content refinement powered by AI.
Slides: Full presentations aligned with company templates.
Gmail: Summaries and prioritised inbox views to cut through clutter.
Every day summaries and urgent action item alerts further position Workspace Intelligence as a proactive assistant rather than a reactive tool.

Workspace Intelligence signals a shift from artificial intelligence as a tool to an operating layer within productivity systems. While Google frames it as efficiency-driven evolution, the greater change lies in reduced human mediation of digital workflows.
